Elysia Park is looking for a Reservations Agent to join our Team:

Main Responsibilities:

  • Handling reservations inquiries and guests requests via email, phone calls and reservations platforms in prompt, accurate, friendly and professional manner following our company’s standards
  • Daily tasks and operations of reservations department
  • Working with Online Booking Engine and PMS
  • Handling TO contracts (confirm reservations, etc)
  • Knowledge of all major Extranets (B2B, B2C, OTA)
  • Room Allocation
  • Continued communication with the Sales, Front Office, Operations and Accounting Departments
  • Good understanding of system reporting

Position Requirements:

  • At least 1 year previous experience in similar position
  • Excellent command of Greek and English, both verbal and written. Additional languages would be considered advantageous
  • Organisational skills, strong attention to details, multi-tasking and time management skills, with the ability to prioritize tasks
  • Excellent communication and organization skills
  • Guest centric approach
  • Self-motivated

Job Description

  • Ensure that all financial information is recorded in a complete, accurate and timely manner

Elysia Park are looking for a highly motivated individual to join our Front Office Team for the summer season.

 

Skills required

You’ll need:

What you’ll do

Your day-to-day tasks may include:

  • To undertake front of house duties, including meeting, greeting and attending to the needs of guests, to ensure a superb customer service experience.
  • To administer all routes of reservations to ensure that room bookings are made and recorded accurately.
  • To ensure that all reservations and cancellations are processed efficiently.
  • Completing procedures when guests arrive and leave
  • Preparing bills and taking payments
  • To assist in dealing with customer complaints in an effective and courteous manner, providing or seeking solutions as quickly as possible.
  • To undertake general office duties, including correspondence, emails, to ensure the smooth running of the reception area.
  • To communicate with partners who provide services for the guests: e. g. sport and entertainment activities

The role:

To work with the Sales & Marketing Manager to maximise the revenue and successfully promote the brand. The majority of sales are online (OTA and direct), so this will be the main focus. Our key strategic goal is to increase direct bookings.

Key Responsibilities:

  • To actively work as a member of the team, contributing to maximising revenue and generating business. To participate fully in all sales activities including, sales calls, corporate entertaining, social events, promotions.
  • To oversee an agreed list of accounts and develop new accounts.
  • Assist Sales & Marketing Manager with preparation of the marketing, advertising, sales plans, programs and annual budget, then work within approved plans and budgets
  • Analyse weekly sales reports and make suggestions on how to optimise rates, markets, channels in line with our revenue management strategy.
  • Ensure all inventory and rates are correctly loaded and available on all distribution channels; Review and maintain price parity across all channels, monitoring room occupancy; updating rates and content.
  • Conducting market research on rival products.
  • Proactively market the hotel through website content updates, social media marketing, email marketing.
  • To ensure the accurate processing, distribution, and recording/filing and follow up of all sales correspondence, including the preparation of contracts

Requirements:

  • Min 2 years’ experience in hotel sales, digital marketing, revenue management
  • Good commercial understanding of the business and market
  • Excellent communication and networking skills and fluency in spoken and written English
  • Knowledge of design software and CMS would be considered an advantage.
  • Bachelor’s degree in marketing, business, or related field.

Deputy General Manager will be responsible for assisting the General Manager with the day-to-day management and development of Elysia Park and its Team.

The responsibilities include:

 

  • Managing the daily hotel operations to achieve planned goals for operational integrity as measured by revenue, profit, while maintaining company standards for guest satisfaction, associate satisfaction, quality assurance, and asset protection.
  • Supporting and motivating Department Heads through effective communication; promoting opportunities to develop and enhance effective working relationships across all departments within the hotel. Promoting and contributing to a harmonious working environment where all employees are treated with respect and dignity.
  • Ensuring quality standards and procedures are fully implemented and regularly reviewed across each department within the hotel.
  • Assisting the General Manager and Finance Manager with the preparation and enforcing of annual budgets.
  • Conduct analysis of operational spend, including auditing vendors and suppliers, to identify and recommend areas for cost optimization, without compromising quality.
  • Assist Sales Manager with maximising RevPAR and actively looking for new sales channels.
  • Ensuring the fabric, fixtures and equipment of the premises are maintained and presented, both inside and out, with the highest standards of cleanliness and housekeeping.
  • Conduct analysis of operational spend, including auditing vendors and suppliers, to identify and recommend areas for cost optimization, without compromising quality.

Skills & Experience

  • At least 2 years’ previous relevant experience working in a deputy or operations management capacity.
  • Demonstrable financial experience.
  • Previous strong sales & marketing experience to include driving sales targets.
  • Previous experience in staff coaching, training & development.
  • Strong interpersonal, communication and presentation skills and a can-do positive attitude.
  • Strong organizational, project management and detail orientation skills, with the ability to multi-task in order to meet a variety of deadlines.
  • Ability to work with minimal supervision.

Night Receptionist (18:00 -02:00AM)

Key tasks & responsibilities:

  • Checks daily arrival lists and welcomes customers to Elysia Park
  • Process check-in, check-out and other guest requests promptly
  • Responds to guests requests for information about Elysia Park and its surroundings
  • Ensure a positive outcome for any guest queries in an efficient and timely manner
  • Demonstrate a high level of customer service at all times
  • Demonstrate a knowledge of hotel room categories and rates
  • Handles walk-in guest room reservations
  • Complete night audit procedures
  • Communicates effectively with customers, colleagues, and supervisors.
  • Demonstrates teamwork by co-operating and assisting colleagues as needed
  • Act in accordance with policies and procedures when working with front of house equipment and property management systems

Previous experience as a Night Receptionist in a hotel would be beneficial but not essential.

Working knowledge of Fidelio would be highly beneficial.

Outstanding organizational skills and the ability to use initiative, work on own and as part of a team as well as to remain calm during difficult situations, in a very busy environment are required.

Fluency in English is required

Fluent Greek, Russian and other languages is a plus.
